Minutes of the Council and Major Commissions - June, 2008

Reports from June 3, 2008 Common leadership Night

 Pastoral Council

The council is in the early stages of preparing a “Parish Covenant Booklet” The Covenant Booklet is in essence a “How To Manual” it will provide a clear road map for how the Parish commissions will continue to function after the present members have moved on.  Remember we now have term limits! CJ Gillig Jim Eglin and Tom Nicholson are presently working on job descriptions.  The remainder of the meeting focused on how the budget process will work for FY 09-10.  Beginning in January ’09 each commission will put together a proposed budget.  The proposed budgets from the commissions will be submitted to the Finance committee which will then submit a provisional budget to the Parish Council for finalization.   The goal is to make the process inclusive and transparent.  The Budget is not a secret document.  All Parishioners will be able to review it upon request.

 Outreach Commission

We continued our work on creating a Bulletin Board as a visual presentation to the parish of all the people who donate their time and talents to the Parish.   We think people will be pleased and surprised to see how many people work in our Parish ministries.  We also decided the Bulletin Board would form the basis of a Pamphlet to send to parishioners.  We hope to increase participation and inspire others to create their own outreach ministries. Next month we will assemble the bulletin board in the Church as well as discuss plans for Santa Rosa Sunday.

 Worship Commission

The Worship commission discussed steps for forming a liturgy planning committee and reviewed suggestions for an informational workshop for people willing to serve on this committee.  We reviewed material on liturgy planning and created a list of potential members and developed a “job description”.  One member of the commission will serve on the committee as a liaison.

 Community Commission

The Commission is still looking for people to “co-chair” the Seniors’ activity Committee; they have several volunteers but are looking for a chair or co-chairs.  Contact Karen Jolin or any of the community commission members if you are interested.  The commission members reported on the results of their research into what other groups in the area do along these lines and have also decided to work with a member of the administrative Commission to review the parish list to come up with potential members for this commission.

 Formation

The Formation Commission spent time refining and focusing their overall goals and mission.  We defined two  areas to focus the attention of the Commission on serving the youth:  (1) Who ministers to the youth and (2) How the youth minister to others.  We decided to focus our attention on #2 - working with the youth to help them take their faith and put it into practice in the service of others.  A critical component will be to engage the youth to get their ideas.  We would welcome input from the parish in developing these surveys and also defining how this might incorporate a direct dialog (perhaps a youth town hall meeting).

 Administration

The Commission continued its work on updating the census form and also investigated some potential software that may be useful.  Begin preparing descriptions of functions for each committee within the Commission and also began discussing the formation of a Communication Team and how such a committee might look and operate.  They decided to consult Father Sweetser for input on how such a committee functions in other parishes.

Our next Common leadership night is Tuesday July 1, 2008 all Parishioners are invited and encouraged to attend.
